ZenSpace Booking Software can be added directly to your ZenSpace pod rental or implemented as a standalone Retrofit Solution for constructed rooms and third-party pods.


This flexibility allows organizers to manage bookings consistently across different room types and suppliers — within one unified system.

Event-Specific Booking Website

For each event, we create a dedicated booking page that lists all available pods or rooms. Attendees can reserve time slots by the hour — free or paid, depending on the organizer’s setup.

Each booking page is fully branded to match your event, including:

  • Your logo

  • Brand colors

  • Event imagery

Once live, the booking page link can be used across multiple touchpoints:

  • Shared directly with attendees

  • Converted into QR codes for on-site graphics (we can also support the production of this event graphics — learn more on the Branding Solutions page)

  • Connected to meeting room displays for walk-up bookings

Meeting Room Displays

ZenSpace offers optional 10-inch meeting room displays designed specifically for fast, intuitive on-site booking.

Mounted directly on pods or placed outside meeting rooms, these displays allow attendees to:

  • Instantly see room availability

  • Check current and upcoming booking status

  • Reserve a room on the spot

The display interface can be:

  • Branded to match the event

  • Customized to include instructions or sponsor messaging

If needed, organizers may also use their own tablets, in coordination with the ZenSpace team.

Dashboard & Utilization Reports

During the event, organizers have access to Dashboards with real-time insights into bookings and space utilization.

After the event, detailed Booking Utilization Reports are provided, including:

  • Total number of bookings

  • Booking Utilization Rate (booked slots vs. available slots)

  • Lead generation data such as user name, company, email, and phone number

These insights support future event planning and provide sponsors with clear, measurable ROI and valuable lead-generation data.
